German School and Kita Vocabulary for Parents
Kita-Platz, Elternabend, Entschuldigung, Zeugnis: the German words schools assume you already know, plus copy-ready sentences for sick notes and meetings.
Last updated

If you are a parent in Germany, the German you need is not the German in your textbook. Nobody at the Kita will ask you about your hobbies. They will hand you a two-page Betreuungsvertrag with a Kündigungsfrist, tell you that Eingewöhnung starts on the 4th, and expect you to know what a Bezugserzieherin is. The vocabulary is narrow, bureaucratic, and completely predictable - which is good news. Roughly 250 to 300 words carry almost every letter, form and phone call you will handle in the next ten years.
This guide gives you the structure first (because the words only make sense inside it), then the Kita paperwork, then the recurring school communication, then sentences you can copy tonight. Be warned about one thing up front: education in Germany is Ländersache, so there are sixteen systems, not one. The school types below have different names in Bavaria, Hamburg and Berlin, and the rules on which school your child may attend differ too. The vocabulary transfers; the details do not.
The structure, in one page
Before school there is the Kita (Kindertagesstätte), which covers Krippe (roughly under 3) and Kindergarten (3 to 6). Since 2013 there is a legal claim - a Rechtsanspruch - to a place from the child's first birthday. A claim is not a place; see the next section.
Then comes Grundschule, four years in most states, six in Berlin and Brandenburg. At the end, the school issues an Übergangsempfehlung (or Schullaufbahnempfehlung): a recommendation about the next school type. In Bavaria, Saxony and Thuringia this recommendation is largely binding, tied to grade averages. In North Rhine-Westphalia, Berlin and several others, parents decide. This single sentence is worth more than any vocabulary list - ask early which rule applies where you live.
| School type | Ends after | Leaving certificate | Typical next step |
|---|---|---|---|
| Hauptschule / Mittelschule | Year 9 (sometimes 10) | Hauptschulabschluss | Ausbildung (dual vocational training) |
| Realschule | Year 10 | Mittlere Reife / Realschulabschluss | Ausbildung, Fachoberschule, Gymnasium |
| Gymnasium | Year 12 or 13 | Abitur | University |
| Gesamtschule | Year 10 or 13 | All of the above | Depends on the track taken |
Gesamtschule matters more than its low profile suggests: it keeps all routes open under one roof and postpones the decision. Local names to expect: Stadtteilschule (Hamburg), Integrierte Sekundarschule (Berlin), Oberschule (Saxony, Lower Saxony), Gemeinschaftsschule (Baden-Württemberg, Schleswig-Holstein).
Grades run 1 to 6: 1 = sehr gut, 2 = gut, 3 = befriedigend, 4 = ausreichend, 5 = mangelhaft, 6 = ungenügend. Lower is better, which trips up nearly every parent from a percentage system. Versetzung means moving up a year; not getting it is sitzenbleiben or wiederholen.
The Kita-Platz hunt and the Betreuungsvertrag
The legal claim exists; the supply frequently does not. In many cities you register on a central portal, in others you walk into each Kita individually with a Anmeldebogen. Expect a Warteliste. Expect to be told to apply nine to twelve months before you need the place.
Words that appear in the process:
- Kita-Gutschein - a voucher issued by the Jugendamt in Berlin and Hamburg, stating how many hours of care you are entitled to. You bring it to the Kita; the Kita converts it into a place.
- Betreuungsumfang - the of care hours per day, e.g. Teilzeit (up to 5 or 7 hours) or Ganztags (up to 9 or 12).
- Platzzusage and Absage - the yes and the no.
- Betreuungsvertrag - the contract. Read for Kündigungsfrist (notice period, often 4 to 8 weeks to month end), Elternbeitrag (parental fee, income-based in some states, free in others), Essensgeld or Verpflegungspauschale (meals, usually extra even where the place itself is free), and Schließzeiten (closure weeks - typically three in summer, plus the days between Christmas and New Year).
- Eingewöhnung - the settling-in period, usually two to four weeks under the Berlin or Munich model. You will be expected to be present and available. Plan work around it.
- Bezugserzieherin - the key worker assigned to your child.
- Masernimpfnachweis - proof of measles vaccination, legally required for Kita and school admission since 2020. No proof, no place.
- U-Untersuchungen - the numbered paediatric checkups. U9 around age 5 is the one commonly asked for before school.
For school entry you will also meet Schulanmeldung, Schuleingangsuntersuchung (a health and language screening by the public health office), Einschulung (the first-day ceremony) and Schultüte (the cone of sweets - not optional, socially speaking). After-school care is Hort or OGS (Offene Ganztagsschule), and a phased legal claim to all-day primary care begins with first graders in the 2026/27 school year.
The letters that come home
Once your child is enrolled, communication settles into a rhythm. Increasingly it runs through an app - Schulmanager, Sdui, IServ, Elternportal - but the wording is identical to the paper version.
| German | What it actually is | What is expected of you |
|---|---|---|
| Elternabend | Class parents' evening, 1 to 3 times a year | Attend; mostly listening, one round of introductions |
| Elternbeirat / Elternvertreter | Elected parent representatives | Optional, elected at the first Elternabend |
| Elternsprechtag | Individual teacher slots, often 10 to 15 minutes | Book a slot; bring specific questions |
| Lernentwicklungsgespräch | Structured progress talk, often with the child present | Replaces the written report in some states and years |
| Zeugnis | Report card, at Halbjahr (Jan/Feb) and Schuljahresende (Jun/Jul) | Sign and return the Zeugnisliste or copy |
| Entschuldigung | Written excuse for an absence | Submit within a set of days, usually 3 |
| Attest | Doctor's certificate | Only if the school requests it or absence is long |
| Beurlaubung | Formal leave of absence for non-illness reasons | Apply in advance, in writing |
| Elternbrief | General circular | Read; often has a tear-off slip to sign |
Two cultural notes worth more than the words. First, teachers are addressed with Sie and their surname, always, even after years - while Kita staff and other parents often switch to du quickly. Second, absence around holidays is treated seriously: taking a child out of school the Friday before the break usually requires a Beurlaubung and is often refused, in some states with a fine attached.
Sentences you can copy tonight
German written communication with schools is formal and short. Open with Sehr geehrte Frau Weber, or Sehr geehrter Herr Bauer, - then start the next line with a lowercase letter. Close with Mit freundlichen Grüßen and your full name.
Sick note (Entschuldigung):
- Hiermit entschuldige ich meine Tochter Lena Meier, Klasse 3b, für den 12. und 13. März. Sie war erkrankt. - Herewith I excuse my daughter Lena Meier, class 3b, for 12 and 13 March. She was ill.
- Mein Sohn Elias ist heute krank und kann nicht am Unterricht teilnehmen. - My son Elias is ill today and cannot attend lessons.
- Sollte die Erkrankung länger andauern, reiche ich ein ärztliches Attest nach. - Should the illness last longer, I will submit a doctor's certificate.
Phoning the Kita or school office before 8:00:
- Guten Morgen, hier ist Sara Khan. Ich möchte meine Tochter Lena krankmelden. Sie hat Fieber. - Good morning, this is Sara Khan. I would like to report my daughter Lena sick. She has a fever.
- Ich melde sie wieder an, sobald sie fieberfrei ist. - I will register her back as soon as she is fever-free.
Asking for a meeting:
- ich hätte gern einen Gesprächstermin mit Ihnen, um über die Entwicklung meiner Tochter in Mathematik zu sprechen. - I would like an appointment with you to talk about my daughter's progress in maths.
- Wären Sie in den nächsten zwei Wochen verfügbar? Ich bin nachmittags ab 15 Uhr erreichbar. - Would you be available in the next two weeks? I can be reached from 3pm.
- Ist ein Telefontermin ebenfalls möglich? - Is a phone appointment also possible?
Requesting leave (Beurlaubung):
- Ich beantrage die Beurlaubung meines Sohnes vom Unterricht am 2. Mai aus familiären Gründen. - I request leave of absence for my son from lessons on 2 May for family reasons.
In the meeting, when you lose the thread:
- Könnten Sie das bitte noch einmal langsamer erklären? - Could you explain that again more slowly?
- Habe ich richtig verstanden, dass...? - Have I understood correctly that...?
- Was genau können wir zu Hause tun? - What exactly can we do at home?
That last question changes meetings. German teachers respond well to parents who ask for a concrete action rather than a defence of the grade.
Where an app helps and where it does not
Honest boundaries, because they matter here more than in ordinary language learning.
If a letter came home today and you need to understand it before tomorrow, use DeepL or Google Lens on your phone. That is faster and more accurate than any vocabulary app, and no flashcard schedule will beat it on a deadline. Use translation for the emergency; use study so that the emergency stops happening.
If you are in a dispute - a refused school place, a Nachteilsausgleich for a child with a diagnosis, a rejected Widerspruch - vocabulary is not the bottleneck. Talk to the Elternbeirat, the Schulamt, a Migrationsberatung office, or in serious cases a lawyer. Many cities also fund free Elternbegleiter or school mediators who will attend a meeting with you.
If your problem is that you freeze when spoken to, a weekly conversation tutor (italki, roughly 10 to 25 euros an hour) will fix that faster than any self-study tool. Book four sessions and role-play an Elternsprechtag.
What spaced repetition is genuinely good at is the durable middle layer: knowing on sight, without translating, that Beurlaubung is not the same as Entschuldigung, that Versetzung decides the year, that Kündigungsfrist is the sentence in the contract that will cost you money if you miss it. Those words recur for a decade. Recognising them instantly is what makes you a parent who participates rather than one who nods.
That is where merke.me fits. The vocabulary trainer drills these words with native audio and real sentences, collocations cover the fixed phrases like einen Termin vereinbaren and am Unterricht teilnehmen, and the grammar library covers the two structures school letters are built from: the formal Konjunktiv II of polite requests (ich hätte gern, wären Sie) and the passive of officialdom (wird gebeten, muss vorgelegt werden). Pricing is here.
Start with the fifty words that arrive first
Do not try to learn the whole school system. Learn the words that will reach you in the next four weeks: Elternabend, Entschuldigung, Attest, Zeugnis, Elternsprechtag, Beurlaubung, Klassenlehrerin, Elternbrief, Schließzeiten, Kündigungsfrist. Ten minutes a day for a month and the next letter home stops being a translation task.
Then do one practical thing tonight: write your standard sick note, save it as a note on your phone with the name and class blank, and never draft it at 7:40 in the morning again.
